A media list is useful only when it reflects how journalists actually work. Organise contacts by beat, outlet, format, geography, language and preferred method—not simply by employer. A producer in Kumasi, a business reporter in Accra and a community-radio host may need different material and different notice.
Start with public bylines, programmes and newsroom contacts. Record what each journalist covers and the date the information was verified. Do not scrape private details or add people to mass marketing lists without a lawful basis. Relationship notes should remain professional and factual.
Before pitching, listen to the programme or read recent work. Send a short, relevant angle with the essential facts in the message body. Offer sources who are available, prepared and appropriate to the story. After a journalist changes role, update the record instead of continuing to send irrelevant releases.
Measure list quality through response relevance, corrections and successful matches—not the number of addresses collected. Review the database quarterly and give recipients an easy way to update preferences.
